How to Enter/Update GSAS Advisers in Banner
It is the responsibility of the department administrators to enter and update transcript/registration advisers on the SGAADVR Banner screen.
- Transcript advisers (TADV and TAD2) should be the person/people with whom a student is doing research, and they are responsible for approving Dissertation Progress Reports (DPRS). Students may have one or two transcript advisers; however, there can be only one TADV and one TAD2. Usually, only students in combined programs have a TAD2.
- Registration advisers (RADV/RAD2) are only required by 9 two-tier departments (Anthropology, Chemical and Environmental Engineering, Chemistry, Management, Near East Languages and Civilizations, Nursing, Psychology, Public Health, and Religious Studies).
- At least one transcript adviser needs to be entered on a student’s record by the time they have advanced to candidacy.
NOTE: Departments should never update the primary adviser; this will cause all advisers to lose access to the student in Degree Audit.
How to Enter Advisers & Create the Record for a New Student
- Go to Banner home page and search for SGAADVR
- Enter the following information:
- Type in the Student Identification Number (SID) or NetID. This will bring up the student’s name. If you don’t have the ID, tab from the ID box to bring up the search box. Enter last name, first name (preferred names don’t work) to find your student
- Enter the current term in the Term box
- Press the Go button or Control Key (Ctrl) & Page Down key simultaneously. This will give you access to fields in the “Adviser Information” section where all information is added and changes are made (Note that the appropriate term should populate).
3. Arrow down to get to a blank row, or click the Insert button.
4. Enter the adviser’s SID, NetID, or Tab to the Name field and type in the adviser's last name, followed by a “comma” then the first name (ex. Smith, John). To search for the adviser, click the ellipsis (…) and enter Last Name, First Name to search. If no adviser comes up that matches your search, contact registrar.yale.edu.
5. In the Adviser Type Field, enter the appropriate adviser type: TADV, TAD2 etc.
6. Repeat the process to add additional advisers. All students can only have one “primary adviser” on this screen. By default, this will and should always be the DGS.
How to Modify an Adviser
- Go to the Banner home page and search for SGAADVR.
- Type in the Student Identification Number (SID). This will bring up the student’s name.
- Enter the current term.
- If the from term is different from the current term, you need to click the Maintenance button to update to the current term. Always click COPY adviser. (If you click remove, all existing advisers will be deleted.)
5. If an adviser already exists, insert a new row, and add the adviser and their type following the steps above. NOTE: There can only be one adviser for each type.
